Switching managers
How to switch property managers in Ontario
Changing managers doesn’t end the lease or change your tenant’s rights. Here’s how a clean handover works, and what we take care of when you switch to us.
Letter to your tenant · Sample
Your home has a new manager
- From March 1, pay rent to Sapphire Property Management
- Your lease, rent and deposit stay exactly the same
- Repairs: request online, or call 647-250-6801
- Questions: info@sapphirepropertymanagement.ca
Sent to every tenant before the first rent date.
Step by step
How the handover works.
Your notice period
Check your agreement
Find the notice period and any fee for ending your current management agreement, then give notice the way it asks.
Before the start date
Sign with us
Your new agreement sets the start date, your spending limit and every fee, in writing.
During the notice
Records and money
We ask your old manager for the leases, deposits, keys and records, and follow up until we have them.
Before the first rent date
Tenants told
Your tenants get a letter saying who manages the home, where to pay rent and how to reach us.
The handover list
- Every lease, renewal and rent increase notice
- The last month’s rent deposit, and the interest owed on it
- Key deposits, keys, fobs and remotes
- Rent records and any arrears, tenant by tenant
- Open repair requests and recent invoices
- Warranties and rental equipment contracts
- Condo rules and building contacts
- Insurance details and past inspection reports
The handover list
What should change hands.
We chase all of it for you, item by item, and tell you when each one has arrived.
What doesn’t change
The tenancy carries on.
A new manager changes who looks after the home, not the tenant’s rights.
The lease
Same lease, same rent
The lease stays in force with the same rent and terms. The tenant doesn’t sign anything new; they just pay the new manager from the date in the letter.
Deposits
The deposit stays with the tenancy
The last month’s rent deposit is held for the tenant, not kept by the manager. It moves to us or to you, and the yearly interest owed carries on.
Records
Your records are yours
Leases, payments and inspection reports belong to you as the owner. If an old manager won’t hand them over, ask in writing with a date; a lawyer or paralegal can help.
Questions
Switching questions.
Can I switch in the middle of a lease?
Yes. The lease isn’t tied to the manager; only the notice period in your management agreement decides the timing.
How long does it take?
Usually as long as the notice period in your current agreement. We prepare during it, so the handover happens on the start date.
Will my tenant notice?
Only the letter and a new place to pay rent. Repairs, renewals and everything else carry on without a gap.
